1. Scope of this policy
Timberpro Carpenters Pty Ltd (ABN 83 702 121 444) trades as Timberpro Carpenters and provides carpentry and timber construction services — including framing, decking, pergolas, cladding, renovations and fit-outs — to residential and commercial clients across Perth, Western Australia. This policy applies to all personal information we collect through our website at timberprocarpenters.site, by email, in person on site, and through our quoting and project management processes. This website is operated in Australia and this policy is governed by Australian law.
This policy does not apply to third-party websites linked from our site. Those operators handle personal information under their own privacy policies, which we encourage you to read.
2. The Australian Privacy Principles
We are bound by the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs) contained in that Act. The APPs set standards for the collection, use, disclosure, quality and security of personal information, and give individuals rights of access and correction. Our practices are intended to meet or exceed the standards required by the APPs, and we handle personal information openly and transparently.
3. Personal information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details — your name, email address, property or site address, and other contact details you choose to give us.
- Project information — plans, specifications, site access requirements, job notes, photographs of the worksite, and correspondence relating to your carpentry or timber construction project.
- Commercial information — quotes, variations, purchase orders, invoices and payment records. We do not store full payment card numbers on our systems.
- Website information — pages visited, browser and device type, and approximate location inferred from IP address.
- Work and supplier enquiries — resumes, trade licences, tickets and references when you apply to work or subcontract with us, or business details when you supply goods or services to us.
We do not seek to collect sensitive information (such as health information or information about racial or ethnic origin) and will only collect it with your consent or where permitted by law.
4. How we collect personal information
Where it is reasonable and practicable, we collect personal information directly from you. This occurs when you:
- submit a quote request through our Get a Quote page;
- email us via our Contact page or correspond with us about a project;
- meet with our carpenters on site or at your property; or
- apply for work or subcontracting opportunities with us.
We may also collect personal information from a person acting on your behalf (for example, your architect, builder or property manager), from suppliers and referrers, from publicly available sources where reasonably necessary (such as your business website or land title records), and automatically when you use our website.
If we receive personal information we did not solicit and it is not required for our functions, we will handle it in accordance with APP 11, including destroying or de-identifying it where appropriate.
5. Why we collect personal information
We collect, hold, use and disclose personal information to:
- prepare, issue and follow up quotations and estimates;
- schedule, deliver and safely carry out carpentry and timber construction work at your property;
- communicate with you about projects, progress, variations and warranty matters;
- invoice for our services, manage accounts and, where necessary, recover debts;
- meet our obligations under Western Australian building laws, work health and safety legislation, insurance policies, and ABN and GST record-keeping requirements;
- improve our website, services and marketing; and
- assess employment and subcontractor applications.
We will not use or disclose personal information for a purpose other than the primary purpose of collection unless an exception under APP 6 applies, the information is not reasonably identifiable, or you have consented.
6. Cookies and website analytics
Our website may use cookies and similar technologies to remember your preferences and to measure how the site is used. Analytics data is aggregated or de-identified where practicable and is used only to improve the website's content and performance. Most browsers allow you to refuse cookies or delete them through your browser settings; refusing cookies may affect the functionality of some parts of the site.
7. Disclosure of personal information
We do not sell or rent personal information. We may disclose personal information to:
- our directors, employees and carpenters who need the information to perform their work;
- subcontractors, labourers and suppliers engaged on your project, who are bound by confidentiality obligations;
- our professional advisers, such as accountants, insurers and legal advisers;
- providers of hosting, email, scheduling and accounting software who process information on our instructions; and
- government bodies, tribunals or courts where required or authorised by law (for example, building licensing and work safety authorities in Western Australia, or the Australian Taxation Office).
Some third-party providers may store or process data outside Australia. Where an overseas disclosure occurs, we take reasonable steps to ensure the recipient is subject to obligations that are substantially similar to the APPs, in accordance with APP 8.
8. Direct marketing
We may occasionally email past and current clients with news, maintenance reminders or offers relevant to carpentry and timber construction. Every marketing email we send includes a working unsubscribe option, and you may also ask us to stop at any time by emailing ceo@timberprocarpenters.site. We will action opt-out requests promptly and free of charge, in accordance with APP 7.
9. Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, as required by APP 11. Our measures include access controls on our systems, secure storage of project records, and secure destruction of paper records when no longer needed.
We retain personal information only for as long as necessary for the purposes set out in this policy, including statutory record-keeping periods (generally up to seven years for financial and building records). When the information is no longer required, we destroy it or de-identify it.
10. Access and correction
You may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading, in accordance with APPs 12 and 13. To make a request, email ceo@timberprocarpenters.site with enough detail for us to identify you and the information concerned.
We will respond within a reasonable period, usually within 30 days. There is no charge for making a request, although we may charge reasonable costs for providing copies of the information. In limited circumstances permitted by the APPs, we may decline all or part of a request; if so, we will give you written reasons and information about how to complain.
11. Complaints and enquiries
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please email ceo@timberprocarpenters.site with the subject line "Privacy Complaint". We will acknowledge your complaint promptly, investigate it fairly and impartially, and provide a written response, generally within 30 days.
If you are not satisfied with our response, you may escalate your complaint to the Office of the Australian Information Commissioner (OAIC) via www.oaic.gov.au.
12. Changes to this policy
We may update this policy from time to time as our practices change or as the law requires. The current version is always published on this page, with the date of last revision shown at the top. If we make a material change to how we handle personal information, we will highlight the change on our website.
